One owner, and everybody else

Exactly one person is answerable, and other people attach beside them as invitees. Blurring those two is how a shared follow-up becomes nobody's, so the model keeps them apart.

A prompt is a scheduled job

Setting one queues work to run at that moment, which then sends mail and writes a notice inside the product. If the thing has already been finished or abandoned by the time it comes round, the prompt is dropped rather than sent.

Finishing it records how

A call closes on answered, no answer, voicemail, busy or wrong number. A meeting closes on completed, no-show, rescheduled or cancelled. Each keeps notes and the moment the outcome was entered.

Raised without being written

A call step inside a sequence opens one against the lead, taking the owner from the lead when the step does not name one. It arrives without a due date, and nobody answerable means no task at all.
