Email-to-Record Matching

The filing rule is short enough to print: two columns on the lead, compared exactly once lowercased, against every address on the message. No domains, no names, no resemblance.

Runs on every message the Gmail, Microsoft and IMAP workers store, and on a send where no record was named. A deal is never inferred: a message carries one because somebody composed it against one

The mechanism

How it works.

Two columns and nothing else

A lead's main address and its secondary one. Neither the company domain nor the display name is ever consulted, so there is no score for anybody to dispute and no threshold to tune.

Every address asked at once

Sender, recipients, copies and blind copies are flattened, deduplicated and put as one question. A thread you were merely copied on files exactly as readily as one addressed to you.

The header is unwrapped first

A name wrapping an address has the address taken out of it. A bracketed value that is not address-shaped is discarded in favour of the first token on the line that is.

It reaches backwards as well as forwards

A worker sweeps mail already stored and claims what is unclaimed, so putting an address on a lead brings the correspondence that was already sitting there. That pass reads the sender and recipient lines only, which is the deliberately narrower rule for old mail.
